Key Personnel Within the Client Organisation

From the moment the order has been made the process of integrating MEQ® throughout the business begins. The following people within your organisation are key to the delivery of the programme.

Sponsor

Often the person who decides to purchase the programme. Always an internal champion and most effectively a very senior person to enable the view of ‘top down’ sponsorship to proliferate amongst potential participants.

Administrative Contact (AC)

This is the person within the client organisation who corals potential participants, puts them on the programme, manages the waiting list and helps the Facilitator, Team Leader and Deputy to remind and encourage Participants who have not yet completed their Orientatiaon and Closing Questionnaires. The AC’s (Administrative Contact’s) tasks are as follows:

  • Get personal mobile phone numbers, work email, first and last name and job title and enter them into our MEQ® Excel Participant Spreadsheet

  • Once the list of participants has reached eight or more, the AC requests that participants self-nominate for two positions ‘Team Leader’ and ‘Team Deputy’ (see below for their qualities). If self-nomination takes too long, or if the organisation prefers, these positions can also be assigned by the AC, Sponsor or other staff-knowledgeable person in your organisation

  • Answer Participants’ logistical questions throughout the course of the Programme like: time, dress requirements, location; organising Participants who are dialling in, or those who are catching up by on demand video and occasionally encouraging Participants who have yet to fill in their questionnaires

  • Helping the Facilitator, Team Leader and Team Deputy (if necessary) to remind or encourage Participants to complete their Orientation and Closing Questionnaires

Logistical Contact (LC)

This is your point of contact on the day of delivery. In medium sized organisations this is sometimes the same as the AC (see above). The LC may very well be moving tables with you and setting up AV devices moments before participants are scheduled to arrive

Team Leader and Deputy Team Leader

In the Weekly Format (i.e. not in the Three-Day Format) a Team Leader and Team Deputy are required. Select or request volunteers for a Team Leader and Team Deputy preferring those that have at least one of the following qualities:

  • They are Internal Champions

  • They have some limited experience of some form of regular meditative practice (i.e. mindfulness, yoga, tai chi, Qigong, martial arts, long distance running without headphones, Pilates etc.)

  • They are in an administrative position

  • They are in an authoritative position

Step One - Initiation

Initiation is undertaken by your organisation. Usually by the Logistical or Administrative Contact. In larger organisations this is not always the case.

Team Setup

  • Decide on dates for commencement being mindful of the following:

    • The Programme effectively starts two weeks before the first scheduled module with an Orientation Email and Questionnaire sent by us to all Participants

    • Some companies have their teams ready to go and others take up to a month to assemble Participants, so be mindful of this too

    • Finding a suitable room (see Room Requirements on this page) is not as easy as it looks!

  • Form your Team

    • The maximum number of Participants is thirty-two the minimum number of Participants is eight the sweet spot is sixteen

  • Select or request volunteers for a Team Leader and Team Deputy preferring those that have at least one of the following qualities:

    • They are internal champions

    • They have some limited experience of some form of regular meditative practice (i.e. mindfulness, yoga, tai chi, qigong, martial arts, long distance running, pilates etc.)

    • They are in an administrative position

    • They are in an authoritative position

  • Use this link to download our Participant List excel document and enter all Participant details on this document

  • Supply completed Participant List to us fourteen days before the first module is scheduled to begin

  • PLEASE NOTE THAT AFTER THIS TIME NO NEW PARTICIPANTS MAY BE ENROLLED AS THE COURSE HAS EFFECTIVELY STARTED

Step Two - Delivery

Now you can sit back and relax while we take the following steps.

Orientation Questionnaire

  • Shortly before the Orientation Questionnaire (see below) a welcome email is sent to the Team Leader and Team Deputy

    • Please feel free to request a draft copy of this email so you can suggest changes to personalise it for your organisation

  • Two weeks before the first module, the Orientation Questionnaire and Informal Contract are sent to all Participants

    • Please feel free to request a draft copy of this email so you can suggest changes to personalise it for your organisation

Modules Commence

Please note that exact schedulings may differ due ot the bespoke time and availability needs of your organisation.

  • Programmes

    • MEQ® Leadership

      • Six Weeks (if configured as weekly sessions)

      • Four Weeks (if configured as Core plus one full day of Leadership modules)

      • Five Weeks (ifconfigured as Core plus two half days of Leadership modules)

    • MEQ® Productivity

      • Six Weeks (if configured as weekly sessions)

      • Four Weeks (if configured as Core plus one full day of Productivity modules)

      • Five Weeks (if configured as Core plus two half days of Productivity modules)

    • MEQ® Wellbeing

      • Six Weeks (if configured as weekly sessions)

      • Four Weeks (if configured as Core plus one full day of Wellbeing)

      • Five Weeks (if configured as Core plus two half days of Wellbeing)

  • Facilitator Feedback Forms filled in on the closing the final module

Step Three - Completion

Closing Questionnaire

  • One week after the final module the Closing Questionnaire is emailed to all Participants

When the Closing Questionnaire is filled in the Programme completes as follows:

  • Individual and Team questionnaire results are emailed to Participants

    • Individual results are confidential and only shown to the individual Participant concerned

    • Team results are shared with the Team

Certification

  • Certificates of completion are sent out

    • Certificates are sent only to those who complete both Orientation and Closing Questionnaires and the Feedback Form

Room Requirements

Equipment

  • HDMI or VGA Projector with sound

  • Flip Pad or Whiteboard

  • Markers

Special Requirements

  • Remove tables from centre of room

  • Arrange chairs in a circle

  • Find a relatively quiet room (optional)

  • Ability to turn off or dim lights

On the Day

  • Your Facilitator will arrive early to check special requirements and ensure equipment is properly set up. Please ensure the room is booked at least 45mins before each module is due to start

  • Your Facilitator will also return the room to the state they found it in. Please ensure the room is booked until at least 15mins after each module is due to end

  • If one Participant or multiple Participants are dialling in, have the communications equipment as part of the circle (i.e. sitting on one of the chairs)

Materials and handouts

  • Your Facilitator will supply all Programme materials and handouts including pens and pads

Dress Requirements

  • There are no dress requirements however loose fitting clothing is preferable to tight buttoned down clothing
